Contract Negotiations

 

Every event is special.  Everything needs to run like clockwork and all the pieces must fit.  Specifications and deliverables must be detailed.  Equipment and merchandise must show up on time.  And of course, there is the budget.  We know you want to make a great impression, so it’s our job to make sure everything is in place.  And all of this means very little if your event comes in over budget.

 

We keep all of this in mind as we gather proposals, summarize results, and consult you to narrow the search to the best options for you.  Then we put our expertise to work and negotiate a contract that guarantees success.  Every step of the way, we’ll look out for your best interests and lay the foundation for your organization’s event.  The end result will be a great event that meets your every specification.

 

Site Selection

 

It's true what is said about first impressions.  The location and venue that is selected for your event will have one of the biggest impacts on the successful outcome of your event.  A grand ballroom, beautifully decorated and impeccably set, conveys elegance and prestige, a trendy nightclub can give your event that hip edge, and a high tech conference center can be the perfect solution for a client conference.

 

But choosing a location can be a daunting task.  We’ll do the leg work to make your selection as easy as possible.  First, we’ll conduct the initial searches. We’ll thoroughly inspect the meeting and event space, kitchen and bar area, guest rooms, property condition, level of service, transportation options, and other amenities that will influence the success of your event.  We’ll also conduct face-to-face meetings with venue representatives to ensure top-notch service and responsiveness every step of the way. 

 

Next, we will present you with a short list of alternatives and suggestions for venues that will best suit your needs. We’ll even provide you with detailed information including a cost comparison and amenity evaluation for each option to make it as easy as possible for you to decide.

 

After you’ve made your choices, we will do another site visit with you and help you with the final selection.

 

Theme Development

 

Three of the most important elements for a successful event are theme, title and goal.  A great event flows from a great theme; one that ties in with the title and goals of the event.  Tell us what you have in mind, and we will work with you to develop a winning theme that will mesh with your message throughout the entire event. Our staff will also suggest the most creative and cost-effective ways to tie your theme to all of the facets of your event.

 

Event Production

 

Every event is unique.  And every event has special needs.  Once we determine the objectives and scope of your program, then we can determine what will be needed to produce your event.  Our production team will oversee all of the technical requirements for your event.  Your audio, visual, lighting and staging needs will be determined after a site is selected for the event.  Some venues have everything you need in house, while others necessitate the use of outside contrators.  We'll handle all the details.

 

On-Site Event Management

 

Our event management team will:

• Meet with the site staff to review and coordinate all aspects of the event;
• Set up registration, greeting and registering participants,
• Collection, handling and reporting of registration fees;
• Handle logistics including signage and traffic flow;
• Hire outside consultants, speakers, and presenters;
• Prepare project plans, time schedules and the event flow;
• Daily scheduling;
• Arrange diversions and side trips;
• Schedule special dinners and tours;
• Arrange accommodations for participants and guests;
• Serve as a the point of contact for site staff and participants;
• Manage the event production team, including all subcontractors;
• Oversee, adjust, and manage the event area and setup;
• Stage management;
• Maintain displays and exhibits;
• Obtain customer feedback and evaluations;
• Supervise the cleanup, packing, and shipping of materials and products.

Course and Program Development

 

All great meetings must deliver quality content.  For all breakout sessions and learning sessions, Corporate Experience will assist in the development of topics for sessions; development of curriculum for learning sessions; development of all schedules and logistical arrangements; we will arrange for necessary equipment for presentations; and we can also arrange for facilitation of learning sessions, if necessary.
